Terms

App terms of use

Terms for using KuluFlow, Safelo and Sumbit. By creating an account you agree to them. Siteo has its own terms.

In short. We do not ask for a bank card during the trial, and nothing starts being charged by itself when it ends. For a monthly package you get an invoice every month, which you pay by bank link or transfer. You can end your package at any time. The data you enter belongs to you. The app is a tool – the user is responsible for meeting the requirements.

1. Service provider

Normrise OÜ, registry code 17620764

2. What these terms cover

These terms apply to the web apps KuluFlow, Safelo and Sumbit (hereinafter the app). Siteo and Siteo time tracking have separate terms: Siteo terms of use. Purchases of document kits are covered by the terms of sale, and personal data by the privacy notice.

The apps are intended for companies and organisations. By creating an account you confirm that you have the right to act on behalf of the company you are creating the account for.

3. Account

To create an account you need an email address and a password. Keep your password secret – actions made in the account are treated as made by the account owner. If you suspect someone else is using your account, write to us immediately.

The account owner can invite employees to the account and set their permissions. The owner is responsible for making sure the invited users follow these terms.

4. Trial period

KuluFlow and Safelo are free to try for 30 days. In Sumbit, the preview and checks are free; you pay only when you open the final report. During the trial KuluFlow reads up to 50 documents; the rest wait in the queue and are read once a package or the import of old invoices is bought.

We do not ask for a bank card during the trial. If the trial ends and you do not choose a package, you will not be charged anything. After the trial ends, adding new data may be restricted until you choose a package; we do not delete data you have already entered because of this.

5. Prices and payment

Current prices are on the product pages and in the app (Settings → Package). Prices include VAT.

Monthly plans (KuluFlow, Safelo): when you choose a plan, an invoice is issued for the following month, and then a new invoice every month until you end the plan. The payment term is 7 days. You can pay by bank link (payment intermediary Montonio Finance UAB) or by bank transfer based on the invoice. We do not store bank card details or take automatic card payments.

One-off fee (Sumbit annual report for a financial year): the invoice is issued once, with no recurring invoices.

Import of old invoices (KuluFlow): invoices up to 90 days back are taken from a connected mailbox free of charge. Older invoices for a one-off fee: up to 1 year back €19, up to 2 years back €29 (incl. VAT).

If an invoice is left unpaid, after a reminder we may restrict adding new data until the invoice is paid.

6. Ending your package

You can end your package at any time in the app (Settings → Package) or by writing to us. After that no new invoices are issued, and the app remains usable until the end of the paid period. Money for a period already paid is not refunded, except under the Sumbit 30-day money-back guarantee (terms of sale, clause 12).

7. Your data

The data you enter in the app (for example invoices, employee data, bank statements) belongs to you. We use it only to provide the service. For data about the client's employees and other individuals, we act as a processor and process it on your instructions; details are in the privacy notice.

Data is stored on servers in Estonia. In some features (for example, reading an invoice or document), the necessary part is sent to an artificial intelligence service, as described in the privacy notice.

You can download your data using the app's export functions (for example PDF, CSV or XBRL – depending on the app). If you want to delete your account and data, write to us. We keep accounting documents (our invoices) for seven years, as required by law.

8. The app is a tool

The apps help you keep documents and deadlines in order, but they do not replace legal, accounting or occupational safety advice. The user is responsible for the accuracy of the data entered and for meeting obligations arising from law. For example, Safelo sample instructions must be adapted to your own workplace, and a Sumbit report is reviewed, signed and submitted by a member of the management board.

9. Availability and liability

We try to keep the apps running at all times, but short interruptions may occur because of maintenance, faults or outages at service providers.

Our liability is limited to the amount you have paid for the app in the last 12 months. We are not liable for indirect damage or loss of profit. These limits do not apply if the damage was caused intentionally or by gross negligence.

10. Prohibited use

The app must not be used for unlawful activity, to infringe the rights of others, to overload the system or to bypass security measures. In case of such violations we may suspend the account.

11. Changes to the terms

We may change these terms. We will notify you of significant changes by e-mail at least 30 days in advance. If the new terms do not suit you, you can cancel the package before they take effect.

12. Disputes

Please write to info@seadusta.ee first – most issues are solved with a single email. The law of the Republic of Estonia applies, and disputes are resolved in an Estonian court.
